Real problems · real fixes

What retail & stores actually need from payroll

Each row is a pain point we've heard from operators in this vertical — and the specific FastLegal Payroll feature that addresses it.

ProblemStore opening (10am-6pm) / mid (12pm-8pm) / closing (2pm-10:30pm) shifts need to balance across the week.

FastLegal solvesThree shift templates pre-loaded covering all trading hours. Bulk-assign moves associates across shifts for the week in one action; roster page shows coverage at a glance.

ProblemSales associates earn a percentage incentive on store sales — calculated manually from POS reports.

FastLegal solvesSales Incentive is a built-in salary component (20% of basic default). Admin enters per-associate amount monthly from the POS / store report; engine adds it to the payslip.

ProblemUniform allowance treated as taxable; auditors and employees both unhappy.

FastLegal solvesUniform Allowance is a built-in non-taxable reimbursement (₹1,000/mo default). Per Section 10(14)(i) of ITA, uniform allowance specifically to meet expenditure on a uniform is exempt up to actuals.

ProblemESI applies to most retail floor staff but multi-store managers don't track which employee crosses the threshold each month.

FastLegal solvesEngine re-evaluates ESI eligibility every cycle per employee, per branch (store). Flags crossings + falls so HR can issue / cancel cards.

ProblemStore Manager / Department Manager / Sales Associate / Cashier / Stockroom hierarchy doesn't match generic IT-centric designation lists.

FastLegal solvesIndustry profile pre-loads 7 retail-specific designations across the floor + back-of-house split.

ProblemMulti-state operations (Karnataka HO + Maharashtra stores + Tamil Nadu stores) each need separate Shops Act registration.

FastLegal solvesBranch is first-class — each store has its own state, Shops Act registration, PT slab. State-wise PT applied automatically per employee location.

Compensation

Sales incentive + uniform + standard salary

FastLegal models the two retail-specific payroll items as standard components so they appear on payslips with the right tax treatment.

  • Sales Incentive · 20% of basic default · taxable
  • Uniform Allowance · ₹1,000/mo · §10(14)(i) exempt
  • Standard Basic + HRA + LTA + Special structure
  • Statutory Diwali bonus per Payment of Bonus Act 1965
Multi-store

Per-store payroll, per-state PT and ESI

Every store is a separate branch in the data model. Payroll runs scope to one store, all stores in a state, or the whole workspace. Statutory files (PF ECR, ESI return, bank file) can be exported per store / per state.

  • State-wise PT applied per employee branch
  • Per-store PF ECR and ESI return export
  • Per-store bank file for store-specific bank accounts
  • Per-store headcount + cost dashboards
Compliance baked in

The statutes that govern retail & stores

FAQ

Common questions from retail & stores

How do I roster sales associates across open / mid / close shifts?

Three shift templates pre-loaded: Open (10-18), Mid (12-20), Close (14-22:30). The roster page is a week-grid; bulk-assign moves entire departments (Sales Floor, Cashiers, Stockroom) onto shifts for a date range in one action. Swap requests + audit trail on every change.

Can FastLegal handle 100 stores across multiple states?

Yes. Each store is a separate Branch in the data model, with its own state and Shops & Establishments registration. Payroll runs scope to one store or many; statutory files can be exported per store. State-wise PT is applied per employee branch automatically. We've tested with 100-store workspaces; performance is fine.

Is uniform allowance taxable?

No — Uniform Allowance is pre-loaded as a non-taxable reimbursement (₹1,000/mo default). Per Section 10(14)(i) of the Income-tax Act, allowance granted specifically to meet expenditure on a uniform required to be worn for duties is exempt up to amount actually spent.

Do we need ESI for sales associates?

Yes, for most floor staff. ESI is mandatory for any establishment with 10+ employees where any employee earns ≤ ₹21,000 monthly gross. Sales associates, cashiers, stock associates, and visual merchandisers usually fall under the wage ceiling. FastLegal flags every employee crossing/falling under it each month per store.

How is sales incentive paid?

Sales Incentive is a built-in salary component set to 20% of basic default. Each month, your POS / store-level reporting tells you each associate's incentive amount. You enter the per-associate amount; FastLegal adds it as a taxable earning on the payslip. For team-level incentives (store manager gets a percentage of store sales), use the override per-employee.
