What logistics & transport actually need from payroll

Each row is a pain point we've heard from operators in this vertical — and the specific FastLegal Payroll feature that addresses it.

ProblemDrivers paid per-trip + base salary — calculated by the supervisor on a clipboard at the depot.

FastLegal solvesTrip Allowance is a built-in salary component (₹5,000/mo default). Each month, dispatcher enters per-driver trip count × rate; engine adds it to the payslip.

ProblemNight driving allowance is paid for long-haul night routes — manually tracked in WhatsApp groups.

FastLegal solvesNight Driving Allowance is a built-in salary component (₹2,000/mo default). Pair with Night shift assignment in the roster; engine pays automatically per night worked.

ProblemFuel reimbursement for company-vehicle drivers is taxable by default but shouldn't be.

FastLegal solvesFuel Reimbursement is a built-in non-taxable reimbursement. Per Section 10(14)(i) of ITA, conveyance for performance of duties is exempt up to actuals.

ProblemDay driver + night driver alternation across the fleet is a Sunday-evening planning nightmare in Excel.

FastLegal solvesDay shift (06-18) and Night shift (18-06) pre-loaded. Bulk-assign moves entire driver pools across shifts for a date range in one click.

ProblemHeavy vehicle driver / LMV driver / loader / mechanic hierarchy doesn't match generic IT-centric designation lists.

FastLegal solvesIndustry profile pre-loads 7 designations: Fleet Manager, Dispatch Manager, Heavy Vehicle Driver, LMV Driver, Loader, Warehouse Manager, Mechanic.

ProblemESI applies to loaders + helpers + mechanics earning ≤ ₹21k but generic systems don't flag the threshold.

FastLegal solvesEngine re-evaluates ESI eligibility every cycle. Flags crossings + falls automatically.

FAQ

Common questions from logistics & transport

How do I pay drivers per-trip allowance?

Trip Allowance is a built-in salary component (₹5,000/mo default). Each month, dispatcher provides per-driver trip count × rate from the fleet management system; you enter the per-driver allowance amount; FastLegal adds it to the payslip as a taxable earning. For fixed monthly drivers (e.g. captive vehicles), set a flat monthly amount.

Can FastLegal handle Day-driver + Night-driver alternation?

Yes. Day shift (06-18) and Night shift (18-06) are pre-loaded. The roster page lets you bulk-assign — pick a driver pool, pick a shift, pick a date range, assign in one click. Conflict detection (same driver on adjacent shifts without rest) flagged before payroll runs.

Is fuel reimbursement taxable?

No. Fuel Reimbursement is pre-loaded as a non-taxable reimbursement. Per Section 10(14)(i) of the Income-tax Act, conveyance allowance for performance of duties is exempt up to amount actually incurred. Keep fuel bills as documentation for audit.

What about night driving allowance — is it taxable?

Yes. Night Driving Allowance is a taxable salary component per Section 17(1) of the Income-tax Act. There's no statutory exemption specifically for night driving. It appears as a line item on the payslip and flows into Form 16 Part B.

Do drivers earning ₹18k need ESI?

Yes. ESI is mandatory for employees earning ≤ ₹21,000 monthly gross. Lower-tier drivers, LMV drivers, loaders, and most warehouse staff fall under this. FastLegal flags every employee crossing or falling under it each cycle and computes 0.75% employee + 3.25% employer contribution automatically.
